Terms & Conditions

1. Introduction

These Terms & Conditions (“Terms”) govern participation in The X-Bot Games: Xeta Showcase (“XBG” or “the Event”), including all associated Challenges and the Bot Mob Breakthrough People’s Choice Challenge.

By registering for or participating in XBG, you agree to these Terms. If you do not agree, you must not participate.

2. Eligibility

Participation is open worldwide except where prohibited by law.

Participants must be at least 18 years old, or 13+ with verifiable parental or guardian consent where permitted by local law.

Participants are responsible for ensuring their participation complies with all applicable laws, regulations, and platform rules, including but not limited to Discord, livestream, submission, and voting platforms.

3. Registration, Entry, and Fees

Registration is available only via the official website: x-botgames.com.

Participation in Xeta Showcase Challenges may require payment of a refundable commitment deposit, which will be clearly disclosed at registration along with the applicable refund conditions.

Unless otherwise stated, entry fees are non-refundable.

Fees or deposits will be refunded if XBG is cancelled or materially rescheduled by the organiser, or where a refund is required under applicable consumer protection laws.

4. Event Structure: Challenges

XBG consists of multiple Challenges, each focused on a defined AI task, capability, or application.

Challenges may include online submissions, live demonstrations, expert feedback sessions, and streamed presentations.

Challenge formats, requirements, and schedules may be refined during Xeta Showcase as part of beta testing, acting reasonably and in good faith.

5. Submissions, Progress Gate, and Live Participation

Participants must meet all published submission and progress requirements for their selected Challenges.

Live presentation slots are limited and form the Xeta Showcase Line-Up.

Participation in the Line-Up is subject to meeting Progress Gate requirements, including submission of a minimum viable Challenge entry and attendance at required progress or check-in sessions.

Failure to meet Progress Gate requirements may result in reassignment or removal, acting reasonably and in good faith.

6. Judging and Results

Judging criteria will be published for each Challenge and may include creativity, technical execution, effectiveness, clarity, or other relevant factors.

Judging may involve expert reviewers, panels, or supporting tools.

Xeta Showcase is a beta event and does not constitute official global rankings.

7. Bot Mob Breakthrough – People’s Choice Challenge

Bot Mob Breakthrough highlights new AI products or companies launched in 2025 and is decided solely by community voting.

Voting is open to the public via the official XBG voting platform. The organiser may implement reasonable safeguards to prevent vote manipulation, fraud, or automated abuse. Leaderboards may be displayed during voting.

The Top 10 entries at the close of the initial voting period will be invited to present a 5-minute live demonstration during the Xeta Showcase Finals.

Following the live demonstrations, leaderboards are reset and voting reopens for a final voting window of approximately one week. Final winners are determined solely by votes cast during that final window.

8. Conduct

Participants must act respectfully toward organisers, experts, other participants, sponsors, and audiences. Harassment, discrimination, unlawful behaviour, disruption, or manipulation (including vote manipulation) may result in removal or disqualification.

9. Intellectual Property

Participants retain ownership of intellectual property in their submissions. By participating, participants grant the organiser a worldwide, royalty-free, non-exclusive licence to use, display, reproduce, and distribute submissions for Xeta Showcase operation, promotion, reporting, and archival purposes only. Reasonable attribution will be provided where practicable.

10. Liability

Participation in XBG is at the participant’s own risk.

To the maximum extent permitted by law, the organiser is not liable for technical failures, platform outages, or third-party service interruptions. Nothing in these Terms excludes, restricts, or limits any rights or remedies available under applicable consumer protection laws.

11. Amendments

The organiser may amend these Terms where required for operational, legal, or fairness reasons. Updated Terms apply from the date of publication.

12. Governing Law and Contact
